WoS/BWO Inventory — Privacy Policy

This policy describes the Google Drive report-delivery connection for WoS/BWO Inventory, an inventory reporting app for authorized staff working with BuyWinesOnline and WineonSale.
Information accessed and used
With the administrator's permission, the connection accesses the selected report folder and files used with or created by the app. It uses folder and file identifiers, names, permissions capabilities, file types, file sizes, checksums, and report links to deliver and verify Excel reports. Reports can contain wine names, product codes, inventory quantities, sales totals, order references, and reorder recommendations obtained from the business's inventory systems.
The app requests Google's drive.file permission, which is limited to specific files and folders used with this app and files it creates. It does not request access to all Google Drive files or Gmail messages.
Storage and access
Completed reports are stored in the administrator-selected Google Drive folder and on the computer running the reporting connection. Google authorization credentials are encrypted for the Windows account running the connection. Report identifiers, delivery status, and verification information are also stored by the connection.
The folder's Google Drive permissions control who can access uploaded reports. The connection does not create public file permissions or send sharing invitations. Authorized employees may receive report links through the business's ChatGPT inventory agent; possession of a link does not replace the Google Drive access permissions required to open it.
Use and sharing of Google information
Google information is used to provide the report-delivery functionality described here. The connection does not sell Google user data, use it for advertising, or use it to train artificial intelligence models. WoS/BWO Inventory's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Retention and your controls
Reports and local delivery records remain until removed by authorized staff or the administrator. You can revoke the app's Google access through your Google Account connections. Revoking access stops future authorized transfers; it does not automatically delete reports already stored in Drive or local report copies. Contact the administrator to request removal of stored reports or local connection records.
